How can I send email notifications to assignees and offer candidates when a task is created?

Answer.

You can notify the target users via email in two ways.

When a new Task is created at a Human Task step (whether it is directly assigned to an assignee and enters [My Tasks], or it enters [Offered] for multiple candidates), you can send email notifications to the target users. The two methods are as follows:

  1. Notification via each user’s personal settings (enabled by default)
    If each user has enabled arrival notifications in [Account Settings > Notifications], they will receive an email when a Task is created at a step they are responsible for (enabled by default; applies to both [My Tasks] and [Offered]). For the personal settings procedure, refer to “M108: Changing Notification Settings and Language Settings“.
  2. Force notifications from the workflow side
    As a designer, if you want to ensure notifications are sent regardless of each user’s personal settings, enable the checkboxes under [Email Notification] in the target Human Task.

    • [When Offered]: When a Task enters [Offered] for multiple candidates
    • [When Assigned]: When a Task is directly assigned to an assignee and enters [My Tasks]

Note: This setting can only force the “send” direction. It cannot force “do not send”; even if the checkboxes are unchecked, users who have enabled notifications in their personal settings will still receive emails.
