Let’s Make Use of Task Search

What is the Task Search Function?

Task Search in Questetra BPM Suite allows you to search and review tasks within workflow Cases.
It is a useful tool for monitoring work progress and investigating issues, making it valuable for day-to-day operations.


Start from Operated Tasks

To use Task Search, first open Operated Tasks from the workflow side menu.

Customize Your Search with Six Features

At the top of the page, you’ll find one selection menu and five icons. These six features help you quickly find the information you need.

  1. App Selection (All Apps)
    • Select a business app
      Click All Apps to open a separate window displaying the available Apps. Select an App to limit the search to tasks from that App.
  2. Filter
    • Search by task status or assignee
      You can filter tasks by their status or by the user responsible for operating them.
    • Add Search Criteria
      • Available for all Apps
        You can further narrow the results using criteria such as the Case start date or Task completion date.
      • Available when a specific App is selected
        When an App is selected, you can also search using the values of the App’s own Data Items, allowing for more detailed filtering.

Compare the available search criteria with and without an App selected to see the additional filtering options.

  1. Display Columns
    • Customize the displayed columns
      You can add, remove, or rearrange the columns displayed in the task list.
    • Display App-specific data
      When a specific app is selected, its Data Items can also be displayed.
    • Add Data Items to the list
      Select the Data Items you want to display from the Add section in Display Columns.

  1. Sort
    • Sort the search results
      Sort the results by fields such as Case Start Date, Step name, or Task Completion Date.
  2. Download
    • Export search results as CSV
      Download the search results as a CSV file. The exported file also contains information that is not displayed on the screen, such as internal ID numbers.
    • Filtered Data Items
      If you filtered the results using added Data Items, the downloaded CSV reflects those filtered results.
    • Data Items added to Display Columns
      Any Data Items added through Display Columns are appended to the end of the exported CSV.

  1. Save This List
    • Save frequently used search settings
      Save commonly used search conditions so they can be opened with a single click the next time.
  • Added Data Items
    Any Data Items added in the Filter settings are saved as part of the search conditions.
  • Display Columns
    Any Data Items added to Display Columns, including their customized order, are also saved.

Examples of Using Task Search

  1. Check how long tasks have been waiting
    • In Operated Tasks, change the assignee to another user and display Unoperated and In Progress tasks.
      → Review task start times and waiting times to identify team members who may need support.
  2. Check the status of all assigned tasks
    • In Operated Tasks, display not only completed tasks but also Unoperated and In Progress tasks. Filter the results to tasks completed within the last week.
      → Regularly reviewing task status helps keep work moving efficiently.
  3. Search past Cases like a database
    • Select an App in Operated Tasks and perform a keyword search on a field such as Post Content.
      → Quickly find reference information from previous Cases.
  4. Make daily work more efficient
    • Add the Data Items you frequently check using Display Columns, then save the list.
      → The information you need is always available immediately.


Notes

  • Task Search displays only tasks belonging to Cases in which you have been involved.
  • To search all tasks in an App, you must have Data Viewer permission for that App.
