Let’s Try Using the In-house Chat Function “Collab Chat”

Collab Chat is an internal communication function designed to complement workflow-based information exchanges. It allows users to share information that is difficult to convey within Process Details or Task Processing screens, and it facilitates discussions that are not directly related to specific tasks or workflows. Collab Chat promotes diverse communication, including process discussions and sharing project updates with users who don’t have permission to access process details, as well as general topics that are unrelated to workflows.

Communication in Collab Chat occurs within “Channels,” which are like rooms where members gather to share information. This setup allows for targeted exchanges with specific users. At the same time, you can enable open communication by creating channels that anyone can join.

In this three-page guide, we explain how to use Collab Chat and its features.

Part 1 will introduce the basic usage of Collab Chat.

Now, let’s walk through the steps and try using Collab Chat.

1. Open Collab Chat

First, click on [Collab Chat] from the menu bar at the top of your screen.
This will open Collab Chat at any time.

You’ll see a side menu on the left with a list of channels, and the main panel from the center to the right displays posted messages (the initial post in each block) and comments (replies to messages).

When you open Collab Chat, it automatically selects your main department’s (or primary organizational) channel, showing all messages posted there.

For more info on Channels, see Collab Chat Guide Part 2: “What is a Channel?”. For now, just think of it as a room where interested members gather.

By selecting and switching channels from the channel list, you can view the messages and comments posted in the newly selected channel.

2. Choose a Channel

In the side menu of the Collab Chat screen, channels are categorized into organization channels, app/process channels, and user-created channels.

Channels with a red dot on the icon indicate that there are unread messages or comments in the channels.

When you want to view or post a message, choose a channel from this list. For now, try posting to your main organizational channel.

3. Post a Message

Click the input field that displays “How is your work?” and write your message.

Once you’re done, press the [Post] button. Your message will be posted to the channel, visible to all members participating in the channel.

Posts can be deleted later, but they can’t be edited.

4. React With a “Good!”

Try clicking the [☆ Good!] button to express agreement or thanks with just one click.

When you click [☆ Good!], an email notifies the original poster that their message received a like. This notification can be disabled in settings.

5. Commenting

You can add comments to existing posts.

Adding the first comment to a message

Click the [comment Comment] button under the post to open the input field, type your text, and press [Post comment], just like posting a message.

If comments already exist

Write your comment in the input field labeled [Post comment] and press the [Post comment] button.

Comments are grouped with the original message in a thread, listed in the order they were posted. Threads are organized by the most recent new thread or comment.

6. Summary

Start by greeting members with a post in the channel of the organization you mainly belong to.
A casual greeting can be the first step in clearing up any project misunderstandings and enhancing team unity.
